Who is responsible

The data controller is VNearX, Inc., trading as VnearX, at 131 Continental Dr Suite 305 Newark, DE, 19713 US.

Information you provide

Our contact form collects your full name, contact type, email address, message and privacy consent. Company / organization and phone number are optional. We also record the submission date and time, a submission identifier and delivery state to process your enquiry and prevent duplicate delivery.

The form sends this information securely to our server. A hidden anti-spam field is checked but is not saved in the enquiry record or included in notification emails. Please include only information needed for your enquiry.

Why we use it

We use your information to receive, manage and respond to your enquiry. We process the information you submit on the basis of your consent, given by selecting the consent checkbox and submitting the form. You can withdraw that consent at any time by contacting us. Withdrawal does not affect processing carried out lawfully before withdrawal.

The required fields allow us to handle your request; if you do not provide them or consent, the form cannot submit your enquiry. Providing your phone number or company is optional.

Our hosting infrastructure also processes technical request information, such as IP addresses, browser information, requested URLs, timestamps and response status, to serve and protect the website. Where applicable, our legal basis is our legitimate interest in operating a secure, reliable website. Application error logs use technical error categories rather than enquiry contents.

Who receives the information

Authorized VnearX team members receive your enquiry. We use Google Sheets to store enquiry records and Google Workspace Gmail to send internal notifications and handle correspondence. Firebase App Hosting and Google Cloud provide website hosting, server processing and operational logging. These providers process information as needed to deliver their services.

Our controller is based in the United States, and Google services may process information in countries other than your own. Google describes the safeguards for its processing and international transfers, including applicable standard contractual clauses, in its Cloud Data Processing Addendum and Workspace data processing terms. Contact us for information about safeguards applicable to your enquiry.

How long we keep information

We retain ordinary website enquiries for 12 months after the last substantive contact. This applies to Google Sheets enquiry records and associated notification emails. We handle retention through manual review and deletion; there is no automatic deletion system.

We delete information earlier where a valid deletion or consent-withdrawal request applies, unless a legal obligation requires longer retention. Technical infrastructure logs follow the hosting service’s configured retention and are separate from enquiry records.

How we protect information

We use encrypted connections, restricted access to enquiry records and server-side credentials to protect information. Access is limited to authorized people and services needed to handle enquiries and operate the website. No method of transmission or storage can guarantee absolute security.

Your choices and rights

Depending on the law applicable to you, you may request access to your information, correction, deletion, restriction of processing or a portable copy. You may also object to processing based on legitimate interests and withdraw consent. To make a request, contact contact@vnearxstudio.com. We may need to verify your identity before acting on your request.

You may complain to the data protection authority in your country or region. If you are in the European Economic Area, this includes the authority where you live, work or believe an infringement occurred.
